Turn a spreadsheet into a monthly report

Practise a familiar finance task with a new assistant. AI can help produce a first pass; you still own the arithmetic, the evidence and the final wording.

You’ll make: A checked variance table and a three-sentence monthly report.

STEP 01

Start with safe practice data

Download our fictional budget and actuals. Open it in Excel, Google Sheets or another spreadsheet. There are six categories, and all amounts are in USD. These are expenses: spending more than budget is an overspend.

↓ Download synthetic spreadsheet (CSV)

STEP 02

Ask for a first pass

If your approved AI tool accepts files, attach the CSV. Otherwise paste its six rows into a new chat. No upload feature? Work through the calculations in your spreadsheet instead.
Try this prompt
Using this synthetic expense table, calculate actual minus budget for each category and the total. Calculate total variance as a percentage of total budget. Show the arithmetic. Then draft a three-sentence monthly report separating observed facts from unanswered questions. Do not invent causes, forecasts or business context.

Paste into your approved AI tool. This site does not call an AI model.

STEP 03

Check independently

In a new column, calculate actual minus budget for every row. Sum the budget and actual columns yourself. Your checks: budget $10,000; actual $10,550; overspend $550, or 5.5% of budget. Cloud services is the largest overspend at $450. Travel is $300 under budget. Do not accept a plausible-looking table until every row matches.

STEP 04

Write the useful version

Ask for three sentences: total result, largest movement and one question to investigate. The data does not explain why spending changed. Reject invented causes such as price rises or hiring. A safe question is: “What drove the $450 cloud services overspend?”

STEP 05

Keep your evidence

Save the original CSV, your checked spreadsheet, the first AI draft and your corrected report. Note one correction you made, or explicitly record that your checks found no numeric errors. Mark this practice complete only after doing the checks.

PAUSE & CHECK

Does it hold up?

See the explanation

10,550 − 10,000 = 550. The percentage uses the 10,000 budget as its denominator.

ONLY AFTER YOU’VE DONE THE WORK

A truthful way to describe it

In a self-directed practice exercise using synthetic data, I used AI to draft a monthly expense report, independently checked the variance calculations and removed unsupported explanations.

Use this only if it accurately describes your completed practice. Adapt it to the tool and checks you actually used. It is not a certificate or a claim of professional experience.
